PAIA manual

This is the section 51 manual for EasyLandLord, property management software for South African landlords, from R0 or R49 a month. It explains how to request access to information. It is not a substitute for the privacy notice.

Particulars of the private body

This is the manual required by section 51 of the Promotion of Access to Information Act for Ameon Group (Pty) Ltd, trading as EasyLandLord. Registration number 2026/014079/07. Physical and postal address: 16 St Tropez, Verdun Road, Lorraine, Gqeberha, 6070, South Africa.

Head of the private body: Cheryl van Zyl, Director.

Neill Kemp is the Information Officer, duly authorised by Cheryl van Zyl, Director. Requests are by email only, to privacy@easylandlord.co.za. The Information Regulator registration reference is 2026-068922. We reply to emails within 2 business days. Product questions that are not an access request: support@easylandlord.co.za.

Guide

Section 10 of the Act requires the Information Regulator to publish a guide on how to use the Act. The current guide is available from the Information Regulator at inforegulator.org.za. You may also email the Information Officer named above and ask for help with the process described on this page.

Notice under section 52

This private body has not published a category of records that is automatically available under section 52. The public website can be read without a request. A signed-in person can download a copy of their own personal information from Privacy in the portal, without using the form below.

Records held under other legislation

Where another Act requires a record to be kept, it may be requested to the extent PAIA allows. That includes:

  • Companies Act: the company's registration particulars and the Director's name.
  • Tax Administration Act: the company's own accounting records for its software subscriptions, for the period that Act requires. The company is not VAT-registered.
  • Protection of Personal Information Act: this manual and the privacy notice.

Subjects and categories of records

Records that may be requested, where they exist:

  • Directors: name and the authority given to the Information Officer.
  • Landlord account holders: name, email, subscription, and software invoices and receipts.
  • Staff the landlord invites: name, email, and role.
  • Tenants, applicants, and vendors loaded by a landlord: identity, contact, lease, application, signature, photos, and the rent amounts the landlord recorded. The categories are the ones in the privacy notice.
  • Consent records: notice version, time, and, when they were sent, IP address and browser.
  • Operator agreements with Vultr, domains.co.za, the mailbox provider the landlord configures, Paystack South Africa Proprietary Limited, Sentry, Cloudflare R2, OpenAI, where they exist. That is the same list as the privacy notice. domains.co.za provides DNS hosting and mailbox and email hosting, not only the sending of platform email. The mailbox provider the landlord configures is included because that landlord chooses it to send email to tenants and vendors. Paystack South Africa Proprietary Limited is the South African contracting entity for card payments and is part of Stripe. Paystack does not collect tenant rent.

Tenant rent is not held by the platform. Bank statements a landlord uploads are the landlord's records. A request for another person's portfolio is refused unless the law requires it.

Processing of personal information

This is the section 51 description of processing under the Protection of Personal Information Act. The privacy notice is the full statement. In short:

  • Purpose: to provide the software, secure accounts, send the notices a landlord asks the product to send, and bill the landlord's subscription.
  • Data subjects: landlords, their staff, tenants, applicants, and vendors.
  • Recipients: the operators named in the privacy notice, and the staff and vendors the landlord assigns. The landlord's bank is not a recipient of a transfer by this platform.
  • Transborder flows: Sentry (United States), OpenAI (United States), Cloudflare R2 (Cloudflare, Inc., United States; the backup bucket is not pinned to South Africa), and Paystack South Africa Proprietary Limited (South Africa, and as part of Stripe the Stripe group may process card data in the United States). Each transfer uses that operator's data processing agreement and section 72 of the Protection of Personal Information Act. The application servers are in Johannesburg, South Africa. domains.co.za hosts DNS and mailboxes in South Africa. The landlord's own mailbox provider, and the country where it stores mail, is the landlord's arrangement.
  • Security: HTTPS, hashed passwords, encrypted bank account numbers and mailbox passwords, separation between landlords, access limited to what the landlord assigns, and off-site backups. Session replay, when it runs, masks text and blocks media.

How to request access

Signed-in users should use the in-app privacy export first. That produces a copy without this form. A formal request under the Act is an email to privacy@easylandlord.co.za. There is no phone line for requests. We reply to emails within 2 business days. You may attach Form 2 of the PAIA Regulations (request for access to a record of a private body) from the Information Regulator. An email that contains the information below is accepted if you do not attach the form. It must contain:

  • Your full name.
  • Your email address. The reply is by email.
  • If you ask for someone else: that person's name, and your authority to ask.
  • Enough detail to find the record, and the account email if you have one.
  • The form of access you want. An emailed copy is the form this body can provide. If you ask to inspect a record, the Information Officer will arrange a time at the physical address above, by email.
  • If you are not asking for your own personal information: which right you want to exercise or protect, and why the record is needed for that right.

Fees

The request fee prescribed in the PAIA Regulations for a requester who is not asking for their own personal information is R100, payable before the request is processed. A personal requester does not pay that request fee. Copying and postage, where they apply, are charged at the prescribed access fees. The Information Officer will state the amount, and how to pay it, by email before those fees are incurred. If the Regulations prescribe a different amount, that amount applies. No fee is charged for reading this manual or for an emailed copy of it.

Timelines and decision

The Information Officer decides within 30 days of a request that contains the information above. That period may be extended once, by up to a further 30 days, where the Act allows an extension, including where the request covers a large number of records or someone else must be consulted. You will be told of the extension and the reason by email.

If the request is granted, the record is provided in the form you asked for when that is reasonably possible. An emailed copy is what this body provides. Inspection at the physical address is arranged by email when you ask for it. If the request is refused, the email will state the ground. A private body has no internal appeal under the Act. You may complain to the Information Regulator, and you may apply to a court. The Regulator's website is inforegulator.org.za. Email PAIAComplaints@inforegulator.org.za for a PAIA complaint and POPIAComplaints@inforegulator.org.za for a POPIA complaint. Postal address: P.O. Box 31533, Braamfontein, Johannesburg, 2017. The registration reference is 2026-068922.
